Member Retention Advanced

Member Retention watches for members who are losing interest and may drop their membership.  Catch that early for a better chance of renewing that interest and that membership.

You have some quick Member Retention lists:

Missing Lately: New Members
Missing Latley: All Members
Expiring Memberships

Here are some advanced examples:

Example (1) New Members Missing

Call new members who have low attendance totals.

Tab: Attendance
Button: Member Attendance
Shortcut: New Members, Low Totals (Go)

Lists shows new members at the top, and new members with low attendance totals highest.  Select from these with the Select checkbox, then Contact Selected Members.

Shortcut: Contact Selected Members (Go)
Shortcut: Print (or Export to Spreadsheet) (Go)

Call these new members during slow times that day, or email them, or send a postcard.

Example (2)  Missing Lately

Call members who have attended in the last eight weeks, but not in the last three weeks.
Tab: Attendance
Button: Member Retention

Suppose today is March 1st.  Enter:

Start January 01
End February 12

Select and Contact Selected Members.

If you phone and get a member who has a moment to talk, pull up additional information:

  • Member Central: Agreement (notes you made when the member joined)
  • Member Central: Attendance History
  • Member Central: Measurements
  • Member Central: Payment History

Member Central: Agreement shows contract terms and her membership history in time-stamped free-form notes written by the staff over months and years.

Member Central: Attendance History shows just what time of day and week the member likes to come.

Member Central: Measurements (Show) for the member weigh-and-measure history and charts of inches, weight, and body fat.  Has the member been getting those measures?  Making progress?

Member Central: Payment History shows may show trouble paying lately.  Maybe that's why you haven't seen her.

Example (3) Mail Former Members

Mail everyone who quit third quarter last year.

Tab: Members
Button: Members
Shortcut: Expiring Members by Date Range (Go)

Suppose today is March 1st.  Enter:

Start October 1 (of previous year)
End December 31

From the resulting list:

Shortcut: Select All (or select some by checkbox) (Go)
Shortcut: Contact Selected Members (Go)
Shortcut: Print (or Export to Spreadsheet) (Go)

You may also write this list in the Microsoft MailMerge format for mailing labels or form letters.
